Regional Logistics Manager

G4S Secure Solutions (SA), a leading provider of integrated security management solutions, has a vacancy for a Regional Logistics Manager, based at our operations in Centurion.

Reporting to the Regional Operations Director, this role is responsible for the management of the Region’s Logistics function with regards to the day-to-day requirements of operations and customers and the timeous and accurate rollout and deployment of contracts. Ensure the applicable policies and procedures are adhered to in line with group requirements and standards.

Role Responsibility

Effective management of the region’s assets

  • Assist with maintenance of equipment, the disposal and transfer between regions
  • Firearms administration:

  • Oversight from order to delivery
  • Asset Management
  • Inventory management for all sites in the region
  • Ensure site verifications are conducted
  • Admin around disposal, transfers, cancellations, site terminations
  • Management of site requirements ancillary services and consumption
  • Vehicles
  • Manage new requests (requirements, documentation, internal procurement, liaison with Fleet and Finance
  • Accident Management (processing of paperwork, temp replacements)
  • Management of all maintenance
  • Fuel Management (cards, etags, consumption monitoring)
  • Rental Management
  • Ensure relevant systems are fitted and can be monitored
  • Managing the re-assessments process
  • Ensure relevant disposals and transfers are managed
  • Fines Management
  • Driver paperwork
  • Ensure inspections are done and actioned accordingly
  • Uniforms
  • Inventory Management of stock – stock in storerooms, new start-ups, disposal management
  • Manages the yearly issue thereof relating to costs (includes PPE)
  • Ensure branding is in order

Management of the region’s logistics and procurement function

  • Assist with IT requirements from quote up until delivery and central point of contact
  • Tenders – assisting with quotations for equipment, service, special uniform requests, vehicles, etc
  • Assist with new site start-ups and the project management of large site start-ups – including capex process, contract facilitation, purchasing, special requests
  • Management of site terminations pertaining to equipment, services, rentals etc
  • Assist with ordering and paperwork pertaining to the tools of the trade for office-based employees and associated work spaces
  • Responsible for the general procurement and purchasing function for the region
  • Support the National Procurement Manager with Procurement Processes and Functions

Management of the region’s facilities function

  • Mange building leases – renewal, cancellation or approval process for G4S properties, exit, occupation, contract changes
  • Assist with building moves – cancellation of services, equipment disposals or transfers, IT and printer changes. Ensure that the new building is equipped with all the needed furniture, IT infrastructure, space planning, employee necessities etc
  • Day to day management of the regional office and oversight of outlying offices – building safety, faults are reported and actioned, health and safety protocols are being followed – first aider, fire fighter, quarterly fire drills, emergency procedures, emergency exit plan.
  • Management of service providers

Management of associated administration / controls / ad hoc projects / policies and procedures

  • Ensure procedure is followed correctly for expanded purchase order control
  • Budgets monitoring (cost control and reporting) and assist with provisions, GL’s
  • Petty cash management where applicable
  • Financial checks on validity of purchase requirements
  • Open order management
  • Manage recoveries
  • Adherence to deadlines (Purchases, GRN’s, Stock Status & Issues)
  • System change/integration management
  • Management and cost control of petty cash and Checkers card for individual regions
  • Assistance on ad hoc projects such as procurement, new procedures, company changes, cost saving initiatives, BBBEE compliance
  • Assist with all external and internal audits
  • Close out of relevant audit findings – address all audit findings and ensure close-out within timeframes required
  • Supplier management – registration, monitory of SLA’s and performance, new requests, compliance management
  • Assisting NPM of BBBEE compliance and validation of year renewals and validation of validity
  • Adherence to policies and procedures (includes souring of quotes, internal procurement processes, mandated paperwork

Employee Management and Development

  • All team members have clearly defined job profiles aligned to the profile of the manager
  • Ensure performance contracts are in place and regular goal reviews completed to assess achievement of results
  • Apply poor performance management or employee relations management principles and processes should this be required
  • Provide support, coaching (train) and mentoring continuously to ensure that objectives are met
  • Ensure completed development plans for each employee
  • Allocation resources appropriately to ensure operational demands are met
  • Ensure that events/activities taking place in team are effectively communicated within the team and to other teams requiring the information
  • Ensure adequate succession planning to meet ongoing and anticipated business requirements

Health and Safety

  • Participate in the design/ development/ review/ implementation and monitoring of the departmental safety plans for each year
  • Participate in safety forums created by the company for example safety meetings and safety talks
  • Report all safety incidents to the relevant people
  • Discuss all safety incidents
  • Follow-up on any activities assigned through safety meeting/committee/representative/management
  • Attend safety education and refresher programs
  • Comply with safety policies and procedures at the workplace
  • Distribute safety information as and when required

The Ideal Candidate

Qualification and Experience

  • A tertiary qualification recommended
  • Minimum of 3 to 5 years relevant working experience
  • Experience in managing teams
